Lead Intake & Draft-Ready Follow-up System · by Muhammad Saleem Babar, Pakistan
For small service businesses

Every customer enquiry, recorded and sorted — with a follow-up draft waiting for your approval.

A small system for plumbers, electricians, cleaners and similar businesses: when an enquiry arrives, it is stored in one sheet, sorted by type, given an initial urgency-review flag for your confirmation, flagged if something is missing or duplicated — and nothing is ever sent to your customers without you.

How it works — 5 steps

1

The customer fills in the form

One intake form on the channel you already use, with five fields you confirm.

2

The enquiry lands in your sheet

One row per lead, in your own Google account. Nothing is dropped — a lead with a missing field is flagged, never deleted.

3

Rules sort it

Plumbing / electrical / cleaning / general, plus an initial urgency-review flag (high or normal). Urgency is an initial review flag only — the owner always confirms it; it is not reliable or automatic urgency detection. Duplicates — same contact, same service — are flagged as duplicates.

4

A follow-up draft is written

Every lead gets a ready reply draft next to it, stamped as a draft. The system makes no promises, quotes no prices and books no jobs on its own.

5

You approve, you send

You get a one-line notification for every new lead. You read the draft, edit it if you like, and send it yourself.

Demo test results

SYNTHETIC DEMO DATA — FAKE TEST ENQUIRIES, NOT REAL CUSTOMERS

The working demo was run on 5 fake test enquiries, built to cover the cases that break manual sorting. Result: 5 of 5 passed.

#Test caseWhat the system didResult
1Normal cleaning quote requestStored; category cleaning; urgency normalPASS
2Urgent plumbing leak ("emergency… leaking… tomorrow")Stored; category plumbing; urgency highPASS
3Same customer as case 1, sending againStored and flagged as a duplicate of lead 1PASS
4Enquiry with the contact field left emptyStored — not dropped — and flagged "missing: contact"PASS
5Electrical: "half the house has no power"Stored; category electrical; urgency highPASS
5 / 5enquiries stored
1duplicate caught
1missing field flagged & kept
2initial urgency flags

Every stored lead also carried a follow-up draft marked "OWNER APPROVAL REQUIRED — DO NOT AUTO-SEND", and a one-line notification for the owner. The same test standard is what a pilot is delivered against.

The pilot

$99 fixed — one business, one intake channel

Compatibility, permissions and the payment route are confirmed in writing before work starts. Setup and test delivery within 48 hours after you provide the agreed access and confirm the five form fields. One correction round on categories/wording within 7 days of delivery is included. Any working copies of your data are deleted 30 days after delivery, unless we agree otherwise in writing.

Not included: a full CRM, AI chatbots or AI calling, automatic messages to your customers, calendar booking, payment collection, unlimited revisions or follow-ups, 24/7 monitoring, ongoing maintenance (available separately, quoted first), or any form or platform not agreed in advance. The sorting is rules-based and the drafts are template-based — no artificial intelligence is built in, and none is needed for the system to work. An AI-assisted upgrade may be a future option only where you provide approved AI access yourself.

The human-approval rule — non-negotiable

The system never sends a message to your customers by itself. Every reply is a draft. You — or a staff member you name — read it, edit it if needed, and send it. Your customers always hear from you, never from a machine acting on its own.

Honest limits

No results are guaranteed. This system will not be claimed to increase your sales. What it does is mechanical and checkable: every enquiry is recorded, sorted, drafted and brought to your attention. The sorting is rules-based and the drafts are template-based, not machine judgement — odd wording can land in "general", but the lead is still stored in full for you to review. The urgency flag does not understand negation or context: for example, 'no leak' can be flagged urgent because the bare keyword 'leak' appears. The test results above are from synthetic demo data, labelled as such, not from real customers.
